KAE Cubs Pediatrics Financial Policy

Thank you for choosing KAE Cubs Pediatrics to care for your child. Our practice is committed to providing exceptional, personalized medical care in a respectful and professional environment To ensure clarity and transparency, we have outlined our financial policies below. Please review this policy carefully. By receiving care from KAE Cubs Pediatrics, you acknowledge and agree to the following:

1. Insurance and Copayments

  • Copayments are due at the time of service and are a contractual obligation with your insurance plan. We are unable to waive copays.

  • If you have a deductible plan and your deductible has not been met, you will be responsible for the full charge of all services rendered at the time of the visit.

  • • It is your responsibility to verify your insurance coverage, benefits, and network status prior to your visit. Any unpaid balances not covered by your plan will be your financial responsibility.

2. After-Hours On-Call Access Fee – $30/month

  • To ensure continuity of care and improve access to personalized medical guidance, we offer a concierge-style after-hours on-call service:

  • • For a $30/month per family fee, families will receive direct access to Dr. Zhang’s personal cell phone number and WeChat account for after-hours medical concerns.

  • • This allows you to bypass third-party call centers and communicate directly with your pediatrician.

3. Appointment Commitment and Missed Visit Policy

  • Dr. Zhang’s appointments are never double-booked. Your appointment time is specifically reserved for your child. Missed appointments not only impact your care, but also take away an opportunity for another child to be seen for their medical needs.

  • No-Show Fee: A $30 fee will be charged if you miss your appointment without 24-hour advance notice to our staff.

  • Late Arrival Fee: If you arrive more than 20 minutes late, your appointment may be rescheduled and a $30 late fee will apply.

4. Telemedicine Visits

  • Telemedicine visits are billed the same as regular sick visits and follow the same guidelines for documentation, coding, and billing.

  • Some HMO plans do not cover telehealth services. If your insurance denies the claim, you will be responsible for the full payment of the visit.

  • Please check with your insurance plan ahead of time to confirm coverage of virtual care.

5. Cash-Pay Patients/payment options and balances

  • If you do not have insurance or prefer not to use it, full payment is required at the time of service.

  • We accept cash, Zelle payments and credit cards.

  • All balances are due within 30 days of the billing date. Accounts unpaid after 60 days may be sent to collections unless a prior payment plan has been arranged.

6. Insurance Disclaimer

  • Your insurance contract is between you and your insurer.

  • We will assist in submitting claims; however, you are responsible for knowing your plan benefits and paying for any services not covered or denied.
